Who is responsible

Sean Williams trading as Studio Williams is the data controller for the personal information described in this policy. Studio Williams is a sole-trader photography and content business based in Manchester, UK. For privacy questions or to exercise your rights, email sean@studiowilliams.uk.

Enquiries and bookings

An enquiry may include your name, partner's name, email, telephone number, wedding date, venue, budget, service preferences and anything you choose to put in your message. Booking records may include contracts, invoices, payment status, schedules and photo-group details. Photographs can also identify people.

This information is used to answer your enquiry, prepare a quotation and arrange and deliver the service you book. For a customer's enquiry or booking, the lawful basis is taking steps at your request before a contract, or performing that contract. Financial records may also be needed to meet legal obligations. Information needed for a booking must be provided to arrange and deliver it; other details are optional. Please avoid including sensitive personal information in a general enquiry form.

Wedding photographs

Photographs are taken to provide the service booked by the couple and delivered through Unscripted galleries. Guests can contact sean@studiowilliams.uk about photographs of themselves.

Free wedding checklist

The checklist form collects your name and email through Formspree and takes you to the download page. Those details are used to handle your request and related support. The landing page also describes occasional planning guidance from Studio Williams. Requesting the checklist alone does not establish permission for unrelated marketing. You can ask to stop marketing messages at any time by emailing sean@studiowilliams.uk or using an unsubscribe option where provided. This does not stop necessary messages about an existing booking.

Meta lead enquiries

If you submit an enquiry through a Studio Williams Facebook or Instagram lead form, the information you choose to provide is used to respond to your request. A quotation or booking enquiry is handled as a step you request before a contract. Further marketing requires a separate valid permission. Meta also processes information under its own privacy terms.

Website measurement and cookies

This website uses Squarespace, Google Analytics, Meta Pixel and Microsoft Clarity. These services can process device and browser information, IP addresses, identifiers and website activity to operate the site, understand visits and interactions, and measure advertising. Microsoft Clarity can provide interaction and session information.

The cookie banner offers Accept, Decline and Manage cookies, with a Cookie Preferences control for changing saved choices. Squarespace's integrated Google Analytics and Meta Pixel code uses the banner's category choices. Microsoft Clarity is a separate custom script and currently loads before consent, regardless of the banner choice. Declining through the banner does not stop that script. Browser settings can limit or delete cookies, but do not undo information already sent to a provider.

Services handling information

Squarespace hosts the website. The homepage enquiry and checklist forms send submissions through Formspree. Google/Gmail handles business email. Unscripted is used for client contracts, booking administration and galleries. Google Analytics, Meta and Microsoft Clarity handle measurement or advertising information as described above. Providers receive information for their role and may also process information under their own privacy terms. Gallery links should only be shared with the intended viewers; contact sean@studiowilliams.uk if you believe a gallery has been shared in error.

International processing

Some providers process information outside the UK. Formspree processes information in the United States and other countries where it operates, and Unscripted hosts information in Australia, the United States and the United Kingdom. Their privacy policies describe how they handle it:

Retention

The retention approach is to assess whether information is still needed for an active enquiry, a booking, agreed gallery delivery or archiving, and any legal, accounting or dispute obligation. Records no longer needed for those purposes are deleted or anonymised. A limited opt-out record may be needed to respect a request not to receive marketing. Gallery availability and any archive arrangements should be agreed for the booking; this policy does not promise permanent gallery hosting. Providers' technical logs and backups may have separate retention periods.

Your rights

Depending on the circumstances, UK data protection law gives you rights to access your information, correct it, request deletion, restrict use, object to processing and receive certain information in a portable form. You can withdraw consent where processing relies on consent; this does not affect processing that was lawful before withdrawal.

You have the right to object to direct marketing at any time. For processing based on legitimate interests, you can also object on grounds relating to your situation. Email sean@studiowilliams.uk to make a request. Information needed to verify your identity may be requested before private information is released. You can complain to the Information Commissioner's Office at https://ico.org.uk/make-a-complaint/.
