How Does a Wedding Photographer Work With Your Wedding Planner?

Short answer: a good wedding photographer and a good wedding planner work as a team. The planner runs the day, the photographer records it, and the best results come when both have the same timeline and know who to ask when something changes.

What a planner handles and what a photographer handles

A planner or coordinator looks after the schedule, suppliers and venue. The photographer's job is to be in the right place with the right light and to stay out of the way. Neither should be guessing what the other needs.

Share the timeline early

The most useful thing a planner can give a photographer is the final timeline, ideally a week or two before the day. It lets the photographer check light, travel between locations and how much time the portraits really need. Our guide to building a wedding day timeline shows what to include.

Agree who calls the shots on the day

When family groups, speeches and portraits overlap, someone needs to make the call. Usually that is the planner. Tell your photographer in advance so they take cues from the planner, rather than finding out on the day. This matters most for family group photos, which are quick when someone is gathering people.

Let the planner know your photography priorities

If there are moments you care about, such as a first look, a private reading or a particular detail, tell your planner as well as your photographer. A short shot list can be shared with both.

Suppliers, venue and rules

Planners often know the venue's rules about where photographers can stand, when the ceremony room is set, and where the best backup spaces are. That helps if the weather turns: see what happens if it rains on your wedding day.

Do you still need a planner?

Not every couple has one. If you do not, a photographer who has shot many weddings can give helpful advice on timings, but they cannot run the day for you. Think about who will be the point of contact for suppliers if something changes, even if it is a trusted friend or family member.

Meet before booking

If you already have a planner, it is worth introducing them to your photographer early. Read why meeting your photographer before booking helps.
